Quorum Co helps managers and teams run meetings that move work forward. When you visit this website, download the playbook, book a call, send a message or join a waitlist, you trust Quorum Co with some of your information. This page explains, in plain language, what Quorum Co collects, why, and how it is looked after. It follows Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and its fair information principles.

Who is responsible

Quorum Co is a bilingual meeting facilitation and training practice based in Moncton, New Brunswick. Jason Doiron, founder of Quorum Co, is responsible for how Quorum Co handles personal information.

What Quorum Co collects

Quorum Co asks only for what it needs:

  • Contact form: your name and work email, and, if you choose to give them, your organization, your phone number and a message.
  • Keynote inquiry form: your name and email, and, if you choose to give them, your organization, event date, audience size, preferred language and a short message.
  • Playbook signup: your work email, and whether you ticked the box to receive occasional resources.
  • Workshop waitlist: your email address and your consent to be contacted about that workshop.
  • Booking a call: when you book through TidyCal, the details you enter there, such as your name, email and the time you choose.
  • Workshop purchase or registration: when you buy a workshop through the website checkout or register for a public workshop through Luma, your name, email and any answers you give. Payments are handled by Stripe. Quorum Co never sees or stores your full card number.
  • Emails you send: your email address and what you write.
  • Client work: when an organization works with Quorum Co, Jason may receive participants' names, roles and work contact details, along with feedback or survey responses gathered during the engagement.
  • Website use: basic information about how the site is used. See "Cookies and analytics" below.

Quorum Co does not need sensitive information, such as health details. Please do not send it.

How your information is used

Your information is used to:

  • reply to your questions and follow up on calls you book
  • send you the playbook and, if you ticked the box, occasional practical resources from Quorum Co
  • contact you about a workshop waitlist you joined
  • confirm workshop bookings, take payment and provide receipts
  • prepare, deliver and improve workshops, Immersion, keynotes and client work
  • understand how people use the website so it can be improved
  • keep the business and tax records the law requires

Quorum Co does not sell or rent your information. If Quorum Co ever wants to use it for a new purpose, you will be asked first, unless the law requires or allows it.

When you fill out a form, sign up for the playbook, join a waitlist or book a call, you agree to your information being used as described on this page. Quorum Co sends emails about resources and workshops only to people who signed up for them or asked to hear from Quorum Co, and every one of those emails includes a way to unsubscribe.

You can withdraw your consent at any time. See "Changing your mind" below. In some cases this means a service cannot continue, for example keeping you on a waitlist without an email address.

Who it is shared with

Quorum Co shares personal information only with the service providers that help run the practice, and only what each one needs to do its job:

  • MadeThis, the website platform, which hosts the site, stores form submissions and sends the playbook and resource emails (its hosting and data storage rely on Vercel and Convex)
  • Google Analytics and PostHog, for website statistics
  • Stripe, for payments
  • TidyCal, for booking calls
  • Luma, for public workshop registration
  • Google Workspace, for email

These providers may use your information only to provide their services to Quorum Co. Information may also be shared when the law requires it. It is never sold.

Where your information is stored

Some of these providers store or process information outside Canada, mainly in the United States. While it is there, it is subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities. Quorum Co chooses established providers that have their own privacy and security commitments.

How long it is kept

Your information is kept only as long as it is needed:

  • Inquiries and call bookings: up to two years after your last contact with Quorum Co
  • Playbook and resource emails: until you unsubscribe
  • Workshop waitlist: until the workshop is scheduled or the waitlist is closed, or until you ask to be removed
  • Workshop bookings, payments and client records: for as long as the work requires, and then as long as Canadian tax law requires, generally six years

After that, the information is deleted or made anonymous.

How it is protected

Quorum Co uses safeguards that fit the kind of information it holds and works with reputable providers that secure their systems. Only the people who need your information can see it. The accounts that hold your information are protected with strong passwords and two-step verification.

No system is perfectly secure. If a breach ever creates a real risk of significant harm to you, Quorum Co will tell you and the Office of the Privacy Commissioner of Canada, as the law requires.

How AI is used

Quorum Co uses AI tools behind the scenes for research, for analyzing patterns in anonymized data and for administrative tasks. Client and participant information is never entered into public AI tools.

Cookies and analytics

This website uses Google Analytics and PostHog to understand how people use it, such as which pages are visited, what gets clicked, the type of device and browser, and an approximate location based on your IP address. Both use cookies and similar storage in your browser. These statistics are used to improve the site, not to identify you.

You can block or delete cookies in your browser settings, and Google offers an opt-out add-on at tools.google.com/dlpage/gaoptout. The site still works if you do.

When you book a call, register or pay, you are on TidyCal, Luma or Stripe. Those pages have their own cookies and privacy policies.

Seeing and correcting your information

You can ask what personal information Quorum Co holds about you, how it has been used and who it has been shared with. You can also ask for anything wrong or incomplete to be corrected. Write to the address below. Jason may need to confirm your identity first, and you will get a reply within 30 days. There is no charge.

Changing your mind

You can unsubscribe from emails at any time using the link at the bottom of each one. You can also write to stop hearing from Quorum Co or to ask for your information to be deleted. It will be deleted unless the law requires it to be kept, for example for tax records.
